How receipts are counted: Receipt Hunter sends an SMS form to each cardholder after every transaction. A receipt is counted only when the cardholder replies with job/cost allocation + an attached receipt photo. Unanswered messages are never charged. QuickBooks Online sync is included on all plans. No QBO? You can still use the platform for expense tracking.

Does my team need to download an app?
No. Your team doesn't need to install anything. Receipt Hunter asks for missing receipts via text or email — they simply reply with a photo. No app, no logins, no training required.
Is this just another receipt scanner?
No. Scanner apps wait for someone to remember. Receipt Hunter starts the conversation: we watch your transactions, text the buyer the moment a purchase posts, follow the receipt to whoever holds it, then code and export it. Nothing depends on anyone remembering anything.
How do you know which job/cost code a receipt belongs to?
Your jobs and cost codes sync in from QuickBooks — using your own names for them. The cardholder just picks from that list right in the text message. On Growth and Pro, routing rules can pre-assign by job or cost code.
What credit cards or banks does it work with?
Any bank or card that can send transaction alert emails — which is virtually every US bank. There's nothing to integrate and no bank login to share.
How does QuickBooks export work?
Receipt Hunter enriches the transactions your own bank feed already posted — attaching the receipt image, job, and cost code. We never create or delete transactions, so your books stay exactly yours.
What if someone doesn't respond?
We follow up automatically until it's resolved. And if the receipt is with someone else — a runner, a sub — one tap hands the chase to them. Unanswered requests are never charged.
What if it doesn't work for us?
Paid plans come with a 30-day money-back guarantee, and you can cancel anytime — service simply runs to the end of the billing period. Everything already synced to QuickBooks stays yours, images attached.
Is there a minimum volume?
No. The Starter plan is pure pay-as-you-go: your first 100 receipts are free with no time limit, and if nothing is collected in a month, you pay nothing.
What does setup involve?
Your crew: nothing. For your admin, it's a one-time guided setup — pointing your bank's alert emails at Receipt Hunter and connecting QuickBooks. We do it with you live; most teams are running the same day.
What if a sub or PM pays with a personal card?
That's normal on job sites, and Receipt Hunter handles it — personal-card purchases are captured, coded to the job, and tracked for reimbursement. Ask us in a demo and we'll show the flow.
How do you handle security and privacy?
We never ask for your bank login. Receipt Hunter works from the transaction alert emails your bank already sends you, making access read-only by design. Your data is encrypted in transit, protected by role-based access controls, and never sold. We also follow data minimization practices, maintain audit logs for authorized access, and you can request deletion of your personal data at any time.
How can I delete my personal data?
Receipt Hunter supports your right to request deletion of your personal data. To submit a request, contact us by email or through our Contact page and include the email address you used when interacting with our site. We may ask you to verify your identity before processing your request.
